Do you need software built for ABA therapy, or will a general behavioral health EHR do? If ABA is one small service line inside a mental health practice, a general EHR can carry it for a while.

If ABA is the whole business, the answer changes fast, because your day runs on target data, prompt levels, authorization units, and supervision hours (a general EHR can store those the way a junk drawer can store a screwdriver).

So I scored nine ABA therapy software platforms on the five things clinics lean on every day, using vendor pages as of October 2026.

The scores at a glance:

Passage Health is the best ABA therapy software on this scorecard, because it covers every functional column in one system (clinical data, authorization-aware scheduling, billing, and mobile apps) and comes with a 1:1 onboarding team.

Motivity is the clinician-first pick, Rethink Behavioral Health (RethinkBH) adds staff and caregiver training, and Theralytics wins on published pricing. CentralReach is the broad enterprise platform, while AlohaABA leans into billing and payroll.

ABA Matrix enforces the strictest compliance rules, Artemis ABA runs AI tools on a Salesforce foundation, and ClinicTracker is the multi-specialty behavioral health EHR with an ABA offering.

How the scorecard works

Each column asks one question, and “Yes” means the vendor’s own pages describe the feature as part of the product. “Partial” means something exists but stops short, “Add-on” means it costs extra, and prices are the lowest published starting point as of October 2026.

Clinical data collection: Can RBTs record session data in the system, and does it graph automatically? A strong answer includes program libraries, many data types, and notes that pull straight from the session.

Scheduling + authorizations: Does the calendar know each learner’s authorized hours or units? Strong systems warn you before a session pushes past the limit, so the problem never reaches billing.

Billing/RCM: Can claims come straight from completed sessions, and is managed billing available if you want to hand it off? Dashboards that surface denials earn extra credit.

Mobile app: Is there a phone or tablet app that works during the session, ideally with offline support that syncs once the connection returns?

Public pricing: Can you see a price before you talk to sales? “Quote only” means you can’t, which is common in this category (and great news for whoever sells demo-scheduling software).

1. Passage Health: best for running sessions, schedules, and claims in one system

Scorecard read: Four functional yeses in one login, with a quote-only price tag.

In the clinic: RBTs run sessions from iOS or Android apps on phones and tablets, and data syncs in real time so supervisors can watch it from their own device. If the wifi drops, loaded session data, running timers, and note edits are kept and saved on reconnect.

BCBAs work from many data collection types, reusable programs they can copy across the organization, automated prompt fading and phase progressions, and customizable session note templates.

Graphs build automatically after the first data point, and customizable treatment reports pull in graphs and mastered goals for the period you choose.

Recent upgrades include session timers that start automatically when a session begins, September 2026 signature types (caregiver, supervisor, rendering provider, and more), and event creation and editing in the mobile app.

AI narratives can also draft a session-note summary once a session is complete, which the clinician reviews and edits (support enables it per organization).

On the business side, scheduling ties each event to the learner’s authorization and flags problems before you save.

Billing creates claims from sessions with coding rules by payor, works with 7,000+ payors, and tracks first pass rate and denials, while Client Intake turns website leads into clients in one click.

Nicole Edge of Autism Services of Florida sums it up: “Running a session has never been so easy.”

Cost: Pricing is by quote after a demo, and there’s no free trial. Optional RCM services cover claims, follow-up, denial management, and AR management for a fee based on monthly collections.

Where it scores low: There are no built-in assessment tools: BCBAs enter goals and targets from external assessments such as VB-MAPP, and the system doesn’t score assessments.

2. Motivity: best for clinician-first data collection

Scorecard read: Motivity is the best ABA therapy software for BCBAs who want the data experience to lead and the business tools to follow.

In the clinic: Clinicians get 1,000+ ready-to-go templates, real-time data and graphs, and iOS and Android apps with the same functionality as the browser version. Motivity’s enterprise page says RBTs need about 15 minutes to learn it.

AI session notes went live for every data collection user at no extra cost on October 7, 2026, and the author still attests at signing. Motivity Intelligence adds an Authorization Advisor and an AI scheduling assistant that drafts a week of schedules for you to approve.

The practice management side, strengthened by the 2026 Calmanac acquisition, covers scheduling, credential tracking, billing, and payroll processing. Scheduling also calculates drive time and catches overlapping appointments with Smart Overlap Detection.

Cost: Published pricing runs $26 per learner for Data Collection, $24 for Practice Management, or $50 for the All-In-One plan, billed monthly as of October 2026. Intake portal and BI dashboard add-ons cost extra, and ConCred is sold separately.

Where it scores low: The standard agreement is 12 months (a month-to-month option exists), and the billing and denial AI agents are still listed as coming soon. Its RCM service also reviews practices in EVV-required states case by case.

3. RethinkBH: best for clinics that want staff and caregiver training built in

Scorecard read: Yes across the board, with a published starting price the vendor itself calls indicative.

In the clinic: A September 2026 update unified programming, treatment planning, supervision, data collection, and clinical analysis, and added a combined behavior-and-skill graph. Data collection runs online or off on iOS and Android.

Training sets it apart. On-demand courses include 40-hour RBT training, and ParentHub gives caregivers session note summaries, videos, and messages with a phone-number or email login.

Scheduling got a rebuild on September 15, 2026, with drag-and-drop rescheduling and visual authorization alerts. BillAI (April 2026) handles billing in-house or as a managed service, and the AI Dashboard (March 2026) answers plain-language questions about operations.

Its Medical Necessity Assessment supports dosage recommendations and tracks payor caps, and the platform is HITRUST CSF certified.

Start-ups get a free sandbox account through its community program, which is a low-risk way to poke around before a sales call.

Cost: Pricing is mostly custom, based on users, modules, and services. As of October 2026, RethinkBH’s comparison page says plans start as low as $20 per user per month and labels that figure indicative.

Where it scores low: AI scheduling (powered by TheraDriver) and Session Note AI are add-ons, there’s no native telehealth, and payroll isn’t among the listed modules.

4. Theralytics: best for clinics that want published pricing

Scorecard read: Theralytics is the best ABA therapy software for clinics that want to see a real price before the first sales call.

In the clinic: Created by a BCBA (founder and CEO Zo Rana), it covers billing, scheduling, data collection, documentation, and reporting for practices from independent BCBAs to multi-location organizations.

The mobile app works offline, captures signatures with GPS coordinates, and is EVV Ready with clock-in and clock-out. AI-Powered Narrative Summaries draft session-note narratives from session data for the therapist to review.

Supervisors can track RBT supervision against BACB standards with color-coded reports, and billing can run daily, weekly, monthly, or per appointment through Office Ally or Claim.MD.

It holds ONC Health IT certification (November 2025) and completed a SOC 2 Type II examination as of December 2025.

Cost: As of October 2026, one module runs $20 per client per month ($30 per user), and the combined plan runs $30 per client ($45 per user). Expect a 10-client or 10-user minimum and a $200 or $300 monthly floor.

Brand-new practices can look at the BCBA Start-Up Package, which waives software fees for up to six months (or until the first client) alongside 4.5% RCM billing.

Where it scores low: The minimums pinch very small practices, and the site gives conflicting contract terms, so confirm contract length. Payroll is reporting only, and scheduling has no AI optimization.

5. CentralReach: best for large, multi-location organizations

Scorecard read: Yes in every functional column, with quote-only pricing and enough modules to fill a conference agenda.

In the clinic: CentralReach calls itself an AI-powered EMR for autism and IDD care, and it serves over 4,600 ABA practices, per a July 2026 press release. Its home turf is the enterprise and multi-disciplinary organization.

CR Mobile lets RBTs collect live session data offline and syncs later, and digital ABLLS-R and AFLS assessments are built in. NoteDraftAI drafts session notes, NoteGuardAI audits them, and ReportDraftAI (generally available September 22, 2026) assembles review-ready report drafts.

CR ScheduleAI manages authorization hours, payor requirements, and credentialing, with two features still marked coming soon. ClaimCheckAI audits claims before submission, and CR BillMax offers managed billing for organizations that want to hand it off.

Parent training runs through CR CareCompanion, staff training through a learning management system, and analytics through 50+ prebuilt dashboards.

Cost: Quote only as of October 2026, with no free trial found. Startups are routed to CR Essentials, a separate product with its own login and no published price.

Where it scores low: It’s a lot of system for a smaller clinic, and the separately branded modules make it important to confirm what’s in your quote. Moving from CR Essentials to the full platform later would likely mean a migration.

6. AlohaABA: best for billing and payroll-heavy practice management

Scorecard read: Strong on the business columns, newer on the clinical one, and refreshingly clear about price.

In the clinic: AlohaABA started practice-management-first, and many practices pair it with partner data-collection tools such as Hi Rasmus and Motivity. It now sells its own data collection too, covering skill acquisition, behavior reduction, ABC data, graphing, and lesson notes.

Scheduling offers day, week, month, list, and timeline views, recurring appointments, and checks against authorization utilization. Session capture records staff and client signatures, time, date, and a geotag.

Payroll is the standout, tracking breaks, drive time, mileage, multiple hourly rates, and overtime per state requirements before exporting to ADP, Paychex, Paylocity, and more. Access is cloud-based from a desktop or mobile device, and Sandata covers EVV through an integration.

Cost: As of October 2026, Practice Management costs $29.99 per staff member per month, and Data Collection is another $10 per client per month on top of it. The vendor charges no implementation fee and offers a 30-day free trial.

Where it scores low: No native AI features or dedicated ABA mobile app are described on its pages (TheraDriver is the AI scheduling integration), and native data collection is still new. Published security credentials are limited to HIPAA, HITECH, and a BAA.

7. ABA Matrix: best for strict authorization and compliance controls

Scorecard read: ABA Matrix is the best ABA therapy software for clinics that want the system to enforce authorization and credential rules at booking.

In the clinic: Real-time validation checks units, credentials, dates, and service types during scheduling. The platform can stop scheduling or billing when authorized units or periods run out, and it can block billing of visits with unresolved EVV errors.

The free mobile app, launched in April 2026, collects data and caregiver or provider signatures offline. Graph Hub builds automatic graphs with trend and condition-change lines, and an AI-powered STO Analytics Tool suggests short- and long-term objective met dates.

Service notes include AI narrative generation and AI-powered revision, and AI Note Audits (August 2026) check notes against your guidelines while they’re being completed. Treatment plans accept manual entry of VB-MAPP, Vineland-3, and ABLLS-R results.

Payroll is built in, and drive time planning uses Google Maps estimates.

Cost: Quote only as of October 2026. The vendor promises “No tiers or fragmented features” and offers a 14-day free trial with extensions on request.

Where it scores low: In-app scheduling and EVV need an internet connection, the platform is available only in the United States, and the FAQ names just one clearinghouse integration (Claim.MD).

8. Artemis ABA: best for AI tools on a Salesforce foundation

Scorecard read: Yes in every column, with a published entry price and an Enterprise tier that holds some of the best parts.

In the clinic: Artemis ABA is practice management built on Salesforce, with BCBA supervision tracking built in and an offline mobile app that auto-syncs and captures provider, supervisor, and caregiver signatures.

AI Session Notes, launched in November 2025, build narratives from session details, collected data, and clinician answers to focused questions. AI Treatment Plans draft from VB-MAPP, ABLLS-R, AFLS, and intake forms, and BCBAs review, edit, and approve every goal.

The scheduler checks appointments against authorized units and payor rules, and billing auto-generates claims from session data with pre-submission audits. Its FAQ names Plutus Health as the parent company, which provides billing services as well.

A native HighLevel integration, available to all customers, brings in leads from that CRM, and the Day Planner supports drag-and-drop scheduling.

Cost: Emerging costs $39.99 per user per month once the 30-day free trial ends (you’ll enter a card at signup), while Enterprise pricing is custom as of October 2026. Contracts are month-to-month, per the FAQ.

Where it scores low: The Trizetto clearinghouse and advanced scheduling sit on Enterprise, implementation may take 30 to 60 days, and email support promises responses within 24 to 48 hours.

9. ClinicTracker: best for multi-specialty behavioral health groups that include ABA

Scorecard read: The general EHR from the opening question, strong on billing and partial on ABA-specific clinical and scheduling tools.

In the clinic: ClinicTracker is a behavioral health EHR with 25+ years in the field, serving mental health, substance use, PHP/IOP, eating disorder, university, and ABA clinics. Its ABA page covers time-based units, ABA CPT codes, authorization management, and payroll tied to session activity.

Clinicians build per-client forms and behavior plans in a Form Builder, and Clinical Scribe offers AI-powered note transcription that stores no audio recordings. Telehealth runs through a Zoom integration, and ePrescribing runs through DrFirst.

The scheduler handles staff, patients, rooms, and groups across locations, warns about double-booking, tracks travel with Google Maps, and offers an optional reminder call service. Billing runs on its BillingTracker engine, with a managed billing service for claims, appeals, and A/R follow-up.

A patient portal that caregivers can use handles forms, e-signatures, secure messaging, and appointment requests.

Cost: Quote only as of October 2026, and there’s no public pricing page.

Where it scores low: ABA is one of six specialties, so ABA-specific tools are thinner, and the scheduler page doesn’t describe authorization-unit checks or credential matching at booking. No offline mobile data collection turned up on its pages either.

From scores to a shortlist

Start with the columns that matter most to your clinic. If billing errors keep you up at night, weight Billing/RCM and scheduling higher, and if BCBAs are pushing for the change, weight clinical data and mobile.

Next, cross off anything that fails a hard requirement, such as EVV in your state, a specific clearinghouse, or a contract term you can’t accept. Then keep two or three platforms, because demoing six is how evaluation projects stall (and how calendars die).

Finally, compare pricing on the same unit. A per-learner price, a per-user price, and a per-staff price can produce very different totals for the same clinic, so run the math with your real caseload and headcount.

Can your shortlist pass these four demo tests?

Feature lists only go so far, so give every finalist the same four tests in a demo or trial:

  • Run one real session end to end. Schedule it, collect data on a phone, finish the note, and generate the claim, then count how many screens and logins it took.
  • Push an authorization past its limit. Book a recurring series that overruns the authorized hours and see when and how the system warns you.
  • Drop the wifi mid-session. Keep collecting data with the connection off, then reconnect and confirm every data point made it back.
  • Pull a report your payor would ask for. Request authorization utilization or supervision hours for one learner and time how long it takes.

Whichever platform passes all four with the fewest workarounds is usually your answer, and I’d trust that result over any feature checklist.

FAQ

What’s the difference between ABA therapy software and a general EHR?

ABA therapy software is built around target data, authorization units, and supervision, while a general EHR is built around appointments and notes across many specialties. Multi-specialty systems like ClinicTracker handle ABA billing, so check the depth of their ABA clinical tools.

Do RBTs need a mobile app for ABA data collection?

For most clinics, yes, because RBTs record data during the session and a phone or tablet app keeps that data next to the learner. Look for offline support that syncs on reconnect, and test what still works offline, since limits vary by vendor.

Is there free ABA therapy software?

Full-featured free ABA therapy software is rare, but several vendors offer free trials or start-up deals as of October 2026. AlohaABA and Artemis ABA offer 30-day trials, ABA Matrix offers 14 days, and Theralytics waives software fees for start-ups for up to six months with its RCM billing.
